02

Access you control

Your Board or property manager decides who can view Owner Records. Nothing is public by default.

03

No individual owner ledgers or payment history stored here

MyRecordSite does not store individual owner financial ledgers, balances, or payment history.

Questions

Frequently asked questions

What is MyRecordSite?

MyRecordSite is a website and records platform for community associations. It gives your association a professional public website, a place to publish notices and meetings, organized association records, and secure Owner Records access.

Who is MyRecordSite for?

Condominium associations, HOAs, and cooperatives, as well as property management companies, CAM firms, and portfolio managers who support them.

How do owners access records?

Owners register with the association and sign in to the owner records portal. Your administrator reviews access requests and manages the association access code and Owner Records settings.

Can boards control what owners see?

Yes. You choose which records owners can view. Records you keep restricted stay hidden from Owner Records.

Do I need to own a domain name?

No. Every association receives a permanent MyRecordSite address, such as yourassociation.myrecordsite.com. You don't need to buy or own a domain to get started.

What if my association already owns a domain?

Your association keeps ownership of its domain. After your account is set up, you can ask MyRecordSite Support to connect it to your MyRecordSite website. Support will give you the exact DNS instructions, and you or your domain administrator make the change. We never need or ask for your domain-provider password.

Can we keep using the MyRecordSite address after connecting our own domain?

Yes. Your permanent .myrecordsite.com address remains available after you connect your own domain.

Do I need technical experience?

No. A guided five-step setup covers Association Information, Website Address, Public Contact, Administrator, and Preview & Publish. You can add records and invite owners afterward.

What types of associations are supported?

Condominiums, HOAs, and cooperatives, as well as property managers supporting the associations they manage. Contact us if you’re unsure whether your community is a fit.

Can we cancel our MyRecordSite subscription?

Yes. You can cancel at any time from your MyRecordSite account. Your association’s website and Owner Records stay active through the end of your current paid billing period. If you need help, email support@myrecordsite.com.

Can we get a copy of our records if we leave?

Yes. You can request an export of your association’s uploaded records and core association information at any time while your account is active, and for 90 days after cancellation.

What happens to our website and records if our management company changes?

Your association’s website and records stay with your association, not with any single manager. Access for an outgoing manager can be removed, a newly authorized Board or manager can be added, and your site and records continue without interruption.

How does support work?

Email support@myrecordsite.com and our team will help with setup and questions about using MyRecordSite.

MyRecordSite is built and operated by SmartLedger Management, a DBA of Griffin Realty, Inc.
