Why Florida associations look for a records website
Florida has specific website rules for community associations. In general terms (this is a summary, not legal advice):
- Condominium associations managing a condominium with 25 or more units (other than those with timeshare units) are required to post specified official records on a website or app under §718.111(12)(g), Florida Statutes. This threshold takes effect January 1, 2026.
- Homeowners' associations with 100 or more parcels have a similar requirement under §720.303(4)(b), in effect since January 1, 2025.
- The condominium statute expressly allows the required website or portal to be operated by a third-party provider. The HOA statute requires a website or app and does not address who operates it.
MyRecordSite provides the website and portal tools. It does not review or verify your records or guarantee that your association complies with any law. Compliance depends on your association's own records and practices. Confirm your requirements with your association's attorney.

What your association gets
- A professional public website: your association name, photo, contact details, notices and meetings, in one of three looks (Coastal, Garden or Terracotta).
- Notices and meetings: publish in a few clicks, with optional email notification to registered owners.
- Organized records: governing documents, budgets, minutes and more, organized by category and searchable by name, category or year.
- Protected Owner Records: owners sign in and see only the records your association has made available. Access is by an association access code or by requests your board or manager approves.
- Board and manager dashboard: records, meetings, notices and owner access from one left-hand menu.
- Your own web address: a permanent
yourassociation.myrecordsite.comaddress is included. If your association owns a domain, MyRecordSite Support can help connect it after setup, and you keep ownership.
Public website vs. protected Owner Records
The public website is open to anyone: notices, meeting information and contact details. Owner Records is a separate, protected area for the documents your association chooses to share with approved owners. Records you keep restricted stay hidden. MyRecordSite does not hold individual owner financial ledgers, balances or payment history.
