Archive vs Delete

Delete is for never-published drafts; archiving removes published content from current views while preserving its history.

Before cleanup, check whether the item was ever published. A never-published draft can be removed when it is no longer needed; archiving is the normal way to take a published meeting, notice, or record out of current views. Archived history is kept for authorized users and should not be treated as a fresh draft. Deleting a meeting draft does not delete its independently stored source Records. Use the confirmation to verify the exact item and action.

Steps

  1. Open the draft or published item you want to clean up.
  2. For a never-published draft, use Delete draft and confirm the item.
  3. For a published item, use Archive and review the confirmation.
  4. Check the Archived tab when you need to inspect past content.

Good to know

  • Archiving does not delete an underlying source Record.
  • An archived item is read-only.
  • A published item cannot be deleted by restoring it to a draft first.
